After-Hours Operations: How We Clean Without Disrupting Your Workflow

'How do you get into our building when we're not there?' It's the first question almost every new client asks. After-hours cleaning is built on a foundation of operational logistics and trust. Here's exactly how Dolpo structures it.

Key Management

Every client site has a documented key management protocol in place before work begins. This includes a signed key custody chain, a physical key register, secure storage at our depot, and defined notification procedures for any access event. Keys are tagged without identifying information—a lost tag cannot be traced to your address.

Alarm Codes and Access Systems

We work with your existing security infrastructure, not around it. Alarm codes are held in encrypted digital storage with role-based access—only the site supervisor assigned to your account holds the code. For keypad or fob-based systems, we request individual access credentials for each assigned technician rather than a shared master code, ensuring individual accountability for every access event.

Start and End Protocols

Each after-hours session follows a defined procedure with documented steps and confirmation at both ends.

  • check_circleArrival confirmation: supervisor sends timestamped start notification to client contact
  • check_circleRoom check: every room checked for occupants before cleaning begins
  • check_circleCleaning run: proceeds from least-contaminated to most-contaminated zones
  • check_circleDeparture check: every accessed room, window, and door verified before exit
  • check_circleDeparture confirmation: timestamped end notification with any site issues flagged

How We Handle Site Issues

If a cleaner discovers something unusual—a window left open, equipment running, visible damage—they photograph it and notify the supervisor, who contacts your designated site contact before leaving. We don't leave a note. We make contact. This applies to minor items as well as serious concerns, because what seems minor to a cleaner may be significant to you.

Why This Level of Process Matters

Most cleaning companies operate after hours as an informal arrangement. We've built our after-hours operations as a formal protocol because the alternative—a poorly managed key, a missed alarm step, an undocumented access—exposes both our client and our business to unnecessary risk. The administrative overhead of doing this correctly is our cost, not yours.

The Bottom Line

After-hours cleaning should be invisible to you except for the result: arriving to a clean office every morning. If you're thinking about the process, something has gone wrong. Our goal is to make the process disappear so the result can speak for itself.
